Position Summary:

The Human Resources Coordinator aids with and facilitates the human resource processes at all organizational locations. This position facilitates onboarding and offboarding processes, manages extended leaves in accordance with organization policy and the collective bargaining agreement in effect, implements HR programs, and assist with annual audits. This position resolves employee related problems and supports positive employee relations. The Human Resources Coordinator makes that certain that hiring practices are administered in accordance with federal and state regulations. This role provides administrative support to the human resource function as needed, including record-keeping, file maintenance and HRIS entry and clean-up.



Duties and Responsibilities:

Facilitates new hire processes and ensures smooth onboarding and offboarding experiences for employees.

  • Assists with staff recruitment process; pre-screens candidates upon request.
  • Verifies job description accuracy and posts new positions on HRIS.
  • Schedules meetings and interviews as requested by supervisory personnel.
  • Issues offer letters in accordance with Civitas policy and protocols.
  • Ensures that follow-up letters are sent at the end of the recruiting process.
  • Guides candidates through the onboarding process, ensuring submission of all required documents for hire.
  • Reviews hiring documents, updates databases, and documents critical information (i.e. degree verification, years of experience, licensure, etc.)
  • Initiates offboarding processes for employees exiting the organization, providing the proper documentation and coordinating exit procedures with the proper personnel.
  • Communicates the start/termination date for new hires to the receiving entity, payroll manager, and IT director.
  • Completes Forms I-9, verifies I-9 documentation and maintains I-9 files.
  • Prepares new-employee files.
  • Other duties, as assigned.


Implements HR processes in accordance with the Civitas Employee handbook, Civitas policies, and the Collective Bargaining Agreement in effect.

  • Responds to employment verification requests in a timely manner.
  • Processes extended leaves request ensuring the collection of required documentation and compliance with all policies, agreements, and regulatory requirements.
  • Communicates extended leaves with the appropriate personnel and maintains accurate documentation of approve extended leaves.
  • Facilitates onboarding for organizational volunteers.
  • Routes tickets to the appropriate personnel and ensures that tickets are responded to and closed timely.
  • Performs customer service functions by answering employee requests and questions.
  • Maintains accurate employment records and implements corrective action pertaining to records.
  • Other duties, as assigned.

Assists with Office Management

  • Answers office phone and directs calls and messages accordingly.
  • Makes photocopies; mails, scans and emails documents; and performs other clerical functions.
  • Assists or prepares correspondence as requested.
  • Processes mail.
  • Performs other related duties as assigned.

The ideal candidate will be able to demonstrate the following:

The ideal candidate will have:

  • A minimum of 2 years of relevant experience, with a successful track record in human resources or a related field;
  • Intermediate Google Suite and Microsoft Office Suite skills, especially Excel and Sheets, and an ability to integrate these platforms for efficiency;
  • General ability to acquire new technical skills in a timely manner;
  • Ability to travel within the city of Chicago to area schools and the network office;
  • Ability to attend to details and follow through on responsibilities and commitments;
  • Outstanding written and verbal communication skills.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at a time.
